Main Objectives

To provide a professional, courteous and effective reception service.

To assist in providing effective administrative support and to contribute towards the efficient delivery of the services provided by the school.

Main Responsibilities/Key Tasks

A. Administration

  1. To be part of the day-to-day administrative function, supporting the effective running of the general office as one of the school's main point of contact, as well as the centre of daily administration
  2. To act as receptionist providing a courteous, responsive and secure reception facility for visitors
  3. To ensure that the reception area is tidy and presentable at all times
  4. To support the operation of an efficient communication system within the school
  5. To be the first response to the telephone, clarifying the purpose of the call, responding to routine enquiries and/or transferring calls accordingly
  6. To liaise effectively and professionally with colleagues
  7. To receive incoming post/messages, distributing and ensuring that the attention is drawn to any urgent items
  8. To sort and send outgoing correspondence
  9. To undertake filing, retrieval of documents, photocopying and typing
  10. Liaising and responding to queries from parents, governors, staff, members of the public and other agents on behalf of school staff
  11. To produce correspondence
  12. To maintain communication links with parents, staff and the local community
  13. To collect and record the receipt of cash/cheques/valuables from students for trips and ensure the safe storage of such

B. Management Information System

  1. Assist in keeping computerised records, written documentation and general information, using the computerised management information system
  2. Assist in maintaining student administrative data
  3. To input and extract data from a computerised system

C. Student Support

  1. Respond to student queries, consoling anxious students, resolving where possible or referring to the appropriate person or contacting parents/carers
  2. Sharing student information with pastoral staff

D. Other

  1. To assist in maintaining inventories and appropriate levels of stationery
  2. To undertake training to achieve the competencies required for the post
  3. To carry out duties of the post in accordance with the Data Protection Act, the Health and Safety at Works Act and other relevant legislation as well as Governing Body policies
  4. To implement the Governing Body's equal opportunities policy in all aspects of the work and duties associated with the post
  5. To undertake other duties appropriate to the post as directed by your Line Manager
  6. To support the School's commitment to safeguarding and promoting the welfare of children in School
  7. To adhere to all procedures within the School to ensure the safety of all children Candidate Specification
